Data handling
What we collect, why, how long we keep it and how to have it deleted. This covers bigideas.i8gl.com and the application system.
In force from 1 October 2026
1. Who processes your data
The operator is OOO Innoveyt Global Edvayzori, 37 Pyatnitskaya Street, room 1/1, Zamoskvorechye, Moscow 119017, Russian Federation. INN 7724939870 · KPP 770501001 · OGRN 5147746226579.
Questions about data handling, including a request for deletion: info@i8gl.com.
2. What we collect
On the site, before you apply:
- anonymised visit statistics - page, referring source, screen size, approximate region from the IP address;
- the value of the ref parameter in the address, if you arrived through a colleague’s personal link. That is the name and institution of whoever invited you;
- the contents of your email, if you write to us.
In the application system, from the opening of applications:
- name, email address, institution and role for each team member;
- details of the academic supervisor;
- the application itself - the public summary and the confidential part;
- the list of people and organisations you have barred from reviewing;
- reviewers’ scores and written comments on your application.
We do not collect health data, political or religious views, ethnicity, or other special categories. Please do not enter them in free-text fields.
3. Why, and on what basis
Application material and team details are processed in order to run the competition: assessing the application, producing feedback, and organising the rounds and the finale. The basis is the consent given at submission, and performance of the agreement.
Visit statistics are processed to understand which parts of the site are read. The basis is legitimate interest.
The ref parameter is used to credit the person who referred you in the end-of-cycle report, with their consent. It is not used for advertising and is not passed to third parties.
5. Who else sees it
Panel members and reviewers see the public summary. Only admitted reviewers who have signed an NDA see the confidential part, excluding anyone you have barred.
On reaching the semi-final, team details are passed to the mentor you choose from those proposed. Mentors act under a separate agreement and are bound by the prohibition on holding equity in a competing project.
Data is not passed on for advertising and is not sold.
6. Where data is held
Personal data of citizens of the Russian Federation is recorded, organised, accumulated and stored using databases located in the Russian Federation.
Visit analytics is the exception. Google Analytics, Microsoft Clarity and HubSpot process it on their own servers outside Russia. Application material, correspondence and anything by which a participant could be identified stay in the databases named above.
7. How long we keep it
- Application material - until twelve months after the close of the cycle, or until you ask for deletion if that comes first.
- Reviewer comments - the same period.
- The referrer’s name and institution from the ref parameter - twelve months after the close of the cycle.
- Email to info@i8gl.com - twenty-four months.
- Anonymised visit statistics - indefinitely; no individual can be identified from them.
What survives deletion is an anonymised row in the cycle statistics - the fact that an application was made, with nothing identifying who made it - and anything we are required by law to keep.
8. Your rights
You may ask what we hold, have it corrected, blocked or erased, and withdraw your consent.
You can withdraw an application at any stage and require your material to be deleted. We delete it and confirm the deletion by email.
Write to info@i8gl.com. We reply within thirty days.
You may complain about our handling of your data to Roskomnadzor.
9. Security, and its limit
Access to application material is granted only after an NDA is signed, and is limited by access control. The connection to the site is encrypted.
There is no such thing as complete protection. We cannot guarantee that data sent over the internet or held on a server will not be compromised. We can guarantee that access is limited to people who have signed undertakings, that the restrictions you set are enforced by the system rather than passed along as a request, and that you will be told about an incident affecting your application.
10. Young people
The competition is addressed to university students, doctoral researchers and staff. We do not knowingly collect data about anyone under fourteen. Where a team member is under eighteen, a guardian’s consent is required.
11. Changes
Changes are published on this page with their date, and the previous version stays available. Anything material is emailed to applicants.
12. Language of this document
The Russian version of this document is the only one in force. The English version is provided as a reading aid, and where the two differ the Russian text applies.
